FAST: THE FIRST MINUTE AFTER A LEAD COMES IN Every text below is ready to paste into n8n or GoHighLevel. Twilio sends the texts. Swap each {{field}} for the matching field from your form or CRM. The rule: text only people who agreed to be texted on your form. No tick, no text. The exact wording of that box on your form is yours to settle with your own adviser. If anyone replies STOP, send them nothing else. THE FIVE STEPS 1. The form posts the lead to your CRM by webhook: first name, mobile number, the service they picked, and whether they ticked the box to be texted. 2. The first text goes out automatically when they submit, with their first name and the service they asked about. It ends with question one. 3. Two questions: how soon, and where the job is. 4. Offer two times. They reply 1 or 2. 5. If they ask about price, go quiet, or reply with something this script doesn't cover, the texts pause and one named person gets an alert. 1. THE FIRST TEXT (pick your trade) Roofing: Hi {{first_name}}, this is {{business}}. Thanks for asking about {{service}}. So we can find you the right time: is the roof leaking now, or are you planning ahead? Reply STOP to opt out. Cleaning: Hi {{first_name}}, this is {{business}}. Thanks for asking about {{service}}. So we can find you the right time: do you need it done this week, or are you planning ahead? Reply STOP to opt out. Heating and air (HVAC): Hi {{first_name}}, this is {{business}}. Thanks for asking about {{service}}. So we can find you the right time: is your heating or AC not working right now, or are you planning ahead? Reply STOP to opt out. 2. QUESTION ONE: HOW SOON (already asked in the first text) If they need it now (leaking, not working, this week): Got it, we'll look for the soonest time we have. One more question: what's the ZIP code where the work is? If they're planning ahead: Thanks, that helps, so there's no rush. One more question: what's the ZIP code where the work is? Anything else: send nothing, and send the staff alert (section 5). 3. QUESTION TWO: WHERE THE JOB IS If the ZIP code is in your area: send the two-times text (section 4). If the ZIP code is outside your area: Thanks, {{first_name}}. {{zip}} is outside the area we cover, so we're not the right people for this job. Sorry we can't help this time. Anything else: send nothing, and send the staff alert (section 5). If your form already asks for the address, swap this for a question the form doesn't ask, and write one reply for each answer. 4. OFFER TWO TIMES For a lead who said now, offer your two soonest slots. Thanks, {{first_name}}. {{staff_name}} can come out {{time_1}} or {{time_2}}. Which suits you better? Reply 1 or 2. When they reply 1 or 2: You're booked. {{staff_name}} will be with you {{chosen_time}}. If anything changes, just reply to this text. If neither time works: send the staff alert (section 5). 5. BRING IN A PERSON To the lead, when they ask about price: Good question. {{staff_name}} prices every job, so we've passed your message on and they'll reply to you here. The staff alert, to one named person, by text or in your CRM: Lead needs you: {{first_name}}, {{phone}}, asked about {{service}}. Reason: {{reason}}. Their last message: "{{last_message}}". Automatic texts are paused for this lead. The four reasons: - asked about price - no reply after the follow-up - neither time works - a reply this script doesn't cover 6. NO REPLY: THE ONE FOLLOW-UP You set how long counts as quiet. When a lead goes quiet at any step, send this once, during your working hours: Hi {{first_name}}, did our text about {{service}} come through? Still want help with it? A yes or no is fine. Reply STOP to opt out. If they say yes: send the question they haven't answered yet. If they say no: No problem, thanks for letting us know. We won't text again. If there's still no reply: send the staff alert with the reason "no reply after the follow-up", and stop texting. The named person decides whether to call. TEST IT ON YOURSELF BEFORE YOU SWITCH IT ON 1. Fill in your own form from your own phone, with the box ticked. The first text should arrive on its own, with your first name and the service you picked. Note how long it took. 2. Answer "now", then a ZIP code inside your area. You should get two times. Reply 1 and check the booking lands in your calendar. 3. Fill it in again and reply "how much?" The named person should get the alert, and the automatic texts should stop. 4. Fill it in once more without ticking the box. Nothing should arrive.
